Your Responsibilities:

• Support Sales Team

- Calendar management & organization of Sales Meetings according to CCC Process (e.g. Weekly Sales Forecast Meetings, Sales Committee Meetings, 1-2-1’s, cycle meetings, conferences, trainings): ideation/planning/execution according to brief/guidance including prep. of the appropriate infrastructure, documents and presentations in the required languages

- Compose Sales internal communication and meeting minutes in German, French, English

- Prepare sales offer sheets in alignment with RVL’s, Supply, Customer Service  

- Manage driver safety requirements according to policy (e.g. organize driver safety training, periodically check validity of drivers’ licenses)

- Be key contact for new Sales recruits during induction period

• Support the Regional Sales Managers (“RVL’s” resp. “FLM’s”)

- Manage and write simple, clear Direct-to-Customer communications (Fachhandelskommunikation)

- Field Sales Force support:

 a) Be the direct contact for ad hoc queries, solve them independently or redirect as appropriate,

 b) Manage content for the field sales force tab on the Rotkreuz intranet,

- Support organization of efficient Regional Sales Meetings

- HMG project support

• Support Sales Director

- Calendar management

- Organization of business trips

- Expense management

- Ad hoc support (e.g. inputs into presentations) and assigned special projects

• Procurement / Trade spend management for Field Sales Force and KAM

- “Purchase to Pay” (P2P) process: Invoice and Purchase Order Management (Shopper; Power User SAP; Vendor Management System)

- “Trade Spend Management” and “Trade Claim Management” (TSM / TCM): (Non) Volume Trade Agreement and Promotion (NVTA / NVTP) recording, invoice accounting resp. processing

- Records Management: Physical and electronical storage of Sales Contracts according to GSK policies and law

• 2-way deputy relationship with GM Assistant and Key Account Operations Associate

• Cross-functional accountabilities

- Management of company-wide meetings (approx. 60 people): ideation / planning / execution (concept stage to implementation)

- Trade / Customer Marketing support (support officer tasks, ad hoc own projects)

- Support “Global Support Function”- Leads as required, e.g. vendor invoicing without PO/NVTA-NVTP


Why You?Basic qualifications:

- Commercial education (gelernte kaufmännische Angestellte)

- 3-5 yrs. experience in similar team assistant function with full awareness of administrative team support tasks

- Fluent in German / French / English (spoken & written)
