Our legal team is growing at Vifor Pharma and in this new position we are searching for a Compliance Administrative Specialist to join our organisation in Zurich. In this position, you will cover all the administrative support for the Group Data Protection Officer and the Compliance team, including the management of certain data privacy and compliance processes and activities, like on-line Compliance Training, third party due diligence and coordination. The responsibilities involve interacting with internal stakeholders from all areas of the organisation. This role will encompass a broad range of tasks, including the following:

• Administrative support for on-line compliance training e.g. responding to requests from employees undergoing training (compliance training mailbox), and extracting reports for training completion.


• Reviewing training material in various languages, and coordinating updates.


• Representing Compliance in projects.


• Administrative support for whistleblower hotline (first level support).


• Administrative support for third party due diligence (reviewing, tracking, archiving records etc.).


• Coordinating responses to data privacy requests from data subjects.


• Preparing and formatting data processing agreements and other documents.


• Working with the local affiliate organisations to help them establish and maintain their inventories of local personal data processing activities.


• Handling simple data privacy matters, such as helping clients to identify and complete the correct templates for standard documents.


• Entering training records and SOPs into the electronic document management system.

You will ideally bring a degree in business administration (KV in Switzerland) or comparable qualification, law or similar in addition to the following experience:

• Minimum of 3 to 4 years acting in a support function


• Basic understanding of data privacy and other compliance topics along with a willingness to develop in-depth expertise in these areas is an advantage


• Fluent German and English. French, Spanish and/or Portuguese in addition is an asset


• Excellent writing skills


• Excellent user of Microsoft Office programs (Word, Excel, PowerPoint)


• Experience in a multi-national organization or in the pharmaceutical industry is preferred

To be successful in this role, you need have excellent organisation skills. You take a proactive approach to identifying service support, information flow and process; resolve issues appropriately. You set priorities according to needs and demonstrate a service-oriented approach to all activities. You should have a hands-on mentality. You are an open communicator with good interpersonal skills and the ability to communicate effectively both orally and in writing. You demonstrate a rigorous and methodical approach to document and file management, with high attention to detail. You are able to work independently and push things forward despite resistance.
