The Secretariat of the WTO is seeking to fill a position of Documents Production Operator in the English Documents Production Team, which is part of the Documents Management, Monitoring and Production Section in the Languages, Documentation and Information Management Division.


General Functions

Reporting to the Unit Coordinator, the incumbent will have the following functions and responsibilities:

1. Perform a full range of documents production duties using WTO formatting standards: create, edit, and produce texts, charts, tables, reports and PowerPoint presentations; meticulously check documents for formatting, spelling, grammar, and proper citations; and proofread documents with other team members and incorporate corrections.

2. Quality control of the final versions of documents to ensure consistency with WTO documents production rules and standards.

3. In the absence of the Training Specialist, take on the additional responsibility of training and integrating newly recruited staff members, and other in-house staff members, in the documents production area.

4. Continuously develop skills at the required level and keep abreast of new methods and software packages involving documents production.

5. Replace senior staff as and when necessary; be seconded to other Divisions to provide assistance and/or to replace staff members.

REQUIRED QUALIFICATIONS
Education:

Completion of secondary school and/or secretarial or commercial school equivalent.
Knowledge and skills:

Technical Knowledge and Skills:

Applicants must have passed the Text Processing Operator I qualifications test administered at the United Nations or at the WTO (typing at 50 words per minute, typing from dictation and entering corrections electronically from a heavily hand-corrected document - all with defined standards).
Knowledge of and experience in being part of a documents production process in an organization would be an asset.
Advanced knowledge of the following software: Word, Excel, PowerPoint.
Knowledge of documents management systems would be an asset, as would knowledge of other specialized software such as Toolkit and/or transcription tools.

An open attitude and willingness to adapt to changes in the environment with technological and functional changes.
Tact and discretion and ability to adhere rigorously to requirements of confidentiality.

Work Experience:

Three to four years' relevant experience in documents production including proofreading.
Languages:

Excellent knowledge of English and French is required, to be able to engage with colleagues in conversations and/or e-mail exchanges around daily operational issues. Knowledge of Spanish will be an advantage.
Additional Information:

The position may be offered at a lower grade if the selected candidate does not fully meet all the required qualifications.
