Personal Assistant to the Vice President Oncology Europe


In this role you will act as Personal Assistant to the VP Oncology Europe providing comprehensive, high quality support, and planning time and prioritising workloads to ensure they carry out their role efficiently and effectively, making the best use of their time. You will develop your understanding of their contribution to the delivery of our business objectives, as well as those of each business group within AstraZeneca’s global organisation.


You will support, and where required lead, confidential, sensitive business projects by providing a professional, efficient service and you will work with peers across the AstraZeneca Assistant Team to set standards and drive continuous improvement.


As Personal Assistant you will draw on your experience, insight and judgement to assess complex, ambiguous and often high impact challenges, and recommend solutions that support decision making within operational guidelines. Acting proactively and reactively, you will ensure the VP Oncology Europe is updated and briefed on emerging issues. Combining flexibility with on-time delivery in a dynamic working environment, you will ensure the highest standards of accuracy, efficiency and presentation are achieved.


Responsibilities include:



  • Screening and responding with discretion to often highly confidential and sensitive requests and enquiries, and answering or redirecting routine internal and external communications

  • Managing appointments and schedules, and making complex and frequently changing travel arrangements

  • Coordinating internal and external meetings / conferences to ensure they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and attending those meetings as required.

  • Preparing concise and relevant briefings and papers as required.

  • Maintaining the executive's office and accounting records; monitors, reviews, and approves standard expenditures to ensure that the activities of the office are conducted within established budgets

  • Plans, organises, and schedules own workload so that all activities are completed accurately and on time

  • Acting as a Facilities and IT contact ambassador; championing change and better service

  • Performing other tasks using independent judgement and discretion


Skills and Capabilities Required:



  • Proven experience as a Personal Assistant supporting Directors, VPs, MDs or C-suite individuals in a complex, international organisation

  • Excellent secretarial skills and the ability to exercise sound judgment whilst proactively, efficiently and accurately managing a demanding workload

  • Exceptional planning and organizing skills, with a strong sense of urgency balanced by a good judgement of priorities

  • Ability to handle sensitive information in a confidential manner

  • Collaborative, with excellent interpersonal and communication skills

  • Confident communicating at all levels internally and externally whilst exercising discretion, tact and diplomacy

  • The ability to identify and leverage appropriate systems and procedures to achieve results

  • An understanding of how your team relates to others within the organization, and how to work effectively to achieve business objectives

  • Have high levels of resilience and be self-motivated

  • Flexible, proactive and open to accommodate all duties, and exceed expectations

  • Fluency in German and English is essential. Knowledge of French or Italian is a plus.


Education, Qualifications and Training Required:



  • A-level standard or equivalent education

  • Secretarial qualifications

  • Excellent knowledge of MS office, Outlook, Calendar, PowerPoint and web-based systems
