We are looking for


An Administrative Assistant (m/f) to the Personal Assistant to the CEO at the head office of the company (50% activity rate, daily morning presence requested).


The Administrative Assistant supports the Personal Assistant to the CEO in her daily work through a variety of tasks related to a busy meeting agenda and email correspondence. She/he is used to deal with confidential and time sensitive material and to provide efficient support even in stressful situations.


Job Description


Support the Personal Assistant to the CEO in her daily tasks such as:



  • Follow-up on agenda and meeting requests

  • Follow-up on emails and internal messages

  • Receive and filter phone messages

  • Preparation of all Management and Board meetings (documents & templates)

  • Fill up time sheets and expense modules

  • Cover meeting logistics (drinks, lunch meetings)

  • Filing and other occasional tasks



  • Preparation of meetings with external clients


Requirements


Skills/qualifications/experience


We are looking for a person with at least 2-3 experience, a good team player, and able to work in a dynamic and challenging environment. More specifically, we have the following requirements:



  • French and English, excellent writing in both languages, any other language is a plus.

  • Excellent IT skills (Microsoft Office)

  • Rigorous, detail-orientated, easy going, calm and polite

  • Excellent presentation and a professional can-do attitude

  • Highly reliable and trust-worthy

  • Swiss/EU National or valid Swiss Work Permit
