Administrative Assistant W/M (HBP)
Your mission :
The Human Brain Project Project Coordination Office (HBP PCO) at EPFL, situated on the Campus Biotech in Geneva, Switzerland, is responsible for coordinating the Human Brain Project (HBP) and for its Management and Coordination Subproject. The Human Brain Project is a European Commission Future and Emerging Technologies Flagship, built on international, interdisciplinary scientific collaboration. The HBP aims to put in place a cutting-edge, ICT-based scientific research infrastructure to advance brain research, cognitive neuroscience and brain-inspired computing. The Project promotes collaboration across the globe, and is committed to driving forward European industry.
To strengthen our Project Coordination team and to support all administrative actions necessary for the effective management of the project we are looking for an Administrative Assistant (W/M). Main duties and responsibilities include :
Support continuous communication about the project status and requirements to the hundreds of participants involved and maintain efficient communication channels with them.
Provide administrative support to Partners
Register new partner contacts in the various databases
Follow up of reporting requirements with the consortium partners
Support the preparation of financial reporting instructions and coordination of the financial reporting process of the HBP
Support the maintenance and analysis of the project budget and writing of the financial sections of the reports
Prepare visualization elements for the analysis of the budget
Support preparation of the Work Plan with the HBP Subprojects
Contribute to the development of a management database and to the curation of its data.
Monitor and record administrative changes within the consortium
General support for Project Managers in the Coordination team in times of high workload
Your profile :
Bachelor’s degree or equivalent
Familiarity with European Commission-funded research projects
Excellent organization skills
Well-organized and structured, resistant to stress, multitasking person with positive and pro-active attitude, able to anticipate
Fluent English, written and spoken
Desirable:
Administrative experience of EU research projects in H2020.
Project management experience and certification.
Experience with an academic environment and in working with scientists and professors.
Experience in working in a multicultural environment.
Fluent in French,German, Spanish, Italian or any other European language.
