About the Role


This is a temporary position for 9-12 months to cover a maternity leave. In this role as a team assistant, you will support the global team head (Managing Director) and regional team leaders (Director) in the Life & Health Structured Solutions (i.e. Transactions) departments in the L&H division Your line manager will be the Head of Transaction Management and Governance based in Zurich.


 


You will be responsible for:



  • Provide secretarial and administrative support to the Global Head L&H Structured Solutions and team

  • Manage incoming correspondence, including emails; prioritise, respond, and take appropriate action to ensure all deadlines are met

  • Co-ordinate and prepare travel itineraries

  • Make and co-ordinate arrangements for various internal and external meetings and events

  • Collate responses to requests for information, including accessing relevant data, numerical analysis thereof and drafting supporting comments. Prepare agendas and write meeting minutes.

  • Manage own workload effectively to achieve agreed service/ business standards

  • Undertake the necessary learning to develop current and new areas of competencies

  • Undertake additional and or other responsibilities to meet business requirements, as assigned by supervisors

  • Active role as Data Steward in RICH (creation and updating of new/current Contacts, Partners and target groups)

  • Updating of team lists, organisational charts and distribution lists

  • Ordering of access rights for tools, drives via IT ticket

  • Filing and tracking expense reports, processing incoming invoices

  • Working very closely with executive assistants in the other departments, including holiday covers

About You



  • Education: Minimum Secondary school

  • Confirmed work experience in Executive Assistant or Administration roles, ideally from a Finance background

  • Excellent organizational skills with a flexible attitude are required

  • Very good time management and ability to handle multiple tasks

  • Proficient interpersonal and communication skills – demonstrates a clear and articulate level of written and verbal communication in English

  • Passionate about supporting other people

  • Self-starter, able to work pro-actively, think ahead and multi-task in a dynamic environment

  • Very good knowledge of MS Office tools (Outlook, Powerpoint, Excel, Word)
