Aufgaben
Major Accountabilities:
The nature of the job involves frequent interaction at all levels of the organization and regular exposure to confidential data, requiring considerable use of tact, integrity, discretion, and professional judgment.
The incumbent is expected to multi-task well and must work independently with only general guidance on what is to be delivered.
Coordination and orchestration of the deliverables is expected to be achieved in a timely and highly proficient manner without specific direction.
Functions as the central point of contact for meeting and program management , planning and orchestrating all logistics in a seamless, efficient, and professional manner.
Proactively schedules and prepares all participants of meeting details, including independent preparation and collection of all meeting materials required.
Manages and maintains the ITLT member calendar for meetings, web conferences and teleconferences.
Ensures scheduling and planning barriers are resolved and all meeting details, supplies, orders are executed well in advance of the meeting start.
Demonstrates superior proficiency and expertise in preparation of presentations and data compilation.
Works with multiple tasks and deadlines simultaneously.
Efficiently organizes and prioritizes work, demonstrates a keen attention to detail, and works well under pressure.
Plans, coordinates, and anticipates needs.
Anforderungen
Requirements:
Education: MUST HAVE: minimum 3 years Novartis Experience as Administrative Expert and relevant additional Career training, deep Knowledge of Novartis structure and processes
Languages: MUST HAVE: excellent English skills, German is an asset
Experience: NICE TO HAVE: experience working in a Shared Admin team (working for 3-4 managers the same time)
Friendly interpersonal and communication skills including a sound command of verbal and written English
Proficiency with Word, Outlook, Excel, PowerPoint, and SharePoint, and a general facility for information technology and for learning new software.
Strong organizational and time-management skills, with Excellent administrative skills including thorough knowledge of standard office procedures and protocols
