What is this position about:


The Executive Assistant Team Lead coordinates the delivery of administrative services of the Geneva executive assistants pool by providing leadership, mentoring, coaching and directions to the Team. In addition, the role provides personalized services to the Ocean transportation Business Leader and plays an important role in supporting the day-to-day business by interacting with key stakeholders.


This is an outstanding role that combines traditional executive support with dynamic and strategically-oriented tasks. As an inspiring leader you will develop the team using a high level of energy, strong business focus, self-motivation, drive, problem solving attitude and proactivity. 


Team supervision


By leading and providing performance management, development, and mentoring, you will create a high performing team of executive assistants with a clear vision and purpose. 


You will act as a point of contact to oversee and coordinate the needs for executive assistants’ services and will address issues and gaps.


Business Leader Executive Assistant 


As the Business Leader Executive Assistant you will be responsible to organize and coordinate meetings inside and outside Switzerland, manage and maintain executives' schedules, appointments and travel arrangements.


You will assist with expense reports, receive and interact with incoming visitors, liaise with internal staff and external clients at all levels, coordinate project-based work and review operating practices and implement improvements where necessary.


As a key member of Ocean Transportation business, you will support day to day activities such as helping with on-boarding, organizing business visitor trip, prepare minutes and various one-off requests. You will actively partner with the leadership team to prioritize action items and coordinate the agenda of the events of the business.  


Events Organization and Coordination


You will lead the organization of events and outings including celebrations, team buildings, offsite & destination meeting, seminars and customer events


Internal and External Communication


You will be the point of contact for internal communication including Intranet and Org chart update, publication of newsletters and announcements.


Qualifications

 
What you bring to Cargill (required)

  • A bachelor’s degree and at least 5 years of experience in international environment providing support at a high level.

  • Management experience.

  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite.

  • Knowledge of office administrative practices and procedures.

  • Fluent in English and French, written and spoken.

  • Excellent interpersonal skills.

  • Very good communication skills, capable to adapt communication style to the audience.

  • Strong organizational & planning skills, attention to detail and focus on accuracy and quality.

  • Flexible, able to handle changes and pressure.

  • Able to analyse problems and bring creative solutions.

  • Reliable, trustworthy.

  • Capability to effectively interact with senior level management and maintain a high level of confidentiality. 

  • Self-starter with strong sense of ownership and involvement. 

  • Strong organizational skills, high degree of planning and attention to detail.

  • Management supervision experience and demonstrated leadership potential.
