The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The Environment Management Group (EMG) was established by the UN General Assembly Resolution 53/242in 1999 and is chaired by the Executive Director of UNEP. It aims at enhancing cooperation in the field of environment and human settlements within and beyond the UN system. This post is located in the UNEP EMG Secretariat in Geneva.

Responsibilities

Under the supervision of the Head of Office, EMG Secretariat in Geneva, the incumbent will perform the following duties:

- Perform, under minimal supervision, the full range of office management and administrative support functions; typically provide direct assistance to the Head of the EMG Secretariat;

- Establish and maintain a document/work assignment tracking system including receiving, screening, logging and routing as well as maintaining a system for follow-up and retrieval;

- Maintain liaison with the Head of the Office and with senior officials in other sections regarding on-going programmes and other administrative matters; monitor processes and schedules related to the Section’s outputs, products, tasks, etc.;

- Ensure smooth and efficient information flow within the Section; prepare and process confidential information; assist in the development of office administrative systems and procedures;

- Research, compile and summarize background materials for use in preparation of reports, briefs, speeches, etc.;

- Provide assistance in the coordination of service-wide activities (meetings, training, etc.), special projects and events;

- Orient new staff to relevant administrative procedures and practices and provides general assistance to other EMG staff;

- Attend meetings, prepare minutes, and monitor follow-up activities;

- Draft responses or respond to a wide range of correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports;

- Manage, update and further develop internal databases; update website; newsletters, generate a variety of standard and non-standard statistical and other reports from various databases;

- Actively participate and follow up the implementation of unite doc, SharePoint and ineed service systems within the section;

- Carry out quality control function for outgoing documents; proofread and edit texts for adherence for format, grammar, punctuation and style;

- Respond to complex information requests and inquiries (e.g. answers requests requiring file search, etc.);

- Assist in the preparation of presentation materials using appropriate technology/software;

- Maintain calendar/schedules; monitor changes and communicate relevant information to appropriate staff within the Secretariat;

- Perform a variety of administrative duties (e.g. meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, etc.);

-Assist in preparing the work plan and budget plans, revisions and reports on implementation of the project document; perform other duties as assigned.

Education

Completion of secondary education is required. Additional training in administration or other relevant field desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For this position, fluency in oral and written English is required. Knowledge of another UN official language an added advantage.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

• This position is temporarily available for six months. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

• While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.

• Subject to the funding source of the position, the eligibility for this temporary job opening may be limited to candidates based at the duty station.

• This temporary job opening may be limited to “internal candidates,” who have been recruited through a competitive examination administered according to staff rule 4.16 or staff selection process including the review of a central review body established according to staff rule 4.15.

• Staff members of the United Nations common system organizations who will reach the mandatory age of separation or retirement within the duration of the current temporary need period are not eligible to apply.Submitting an application or selection for the current temporary job opening does not delay or increase the mandatory age of separation.

• Retirees above the mandatory age of separation who wish to be considered for the current temporary job opening must indicate the reason for their last separation as "retirement."
