Administrative Assistant – ARIBA/Google Suite/English

Our client is looking for an Administrative Assistant who supports him during a maternity leave till end of November. After good performance an extension is possible. The perfect candidate has experience in an international environment and speaks English and German.
Tasks & Responsibilities:
* Organizing internal and external meetings and events, video conferences, seminars, and visits of external guests
* Managing and monitoring purchases and expenses (ARIBA)
* Depending on the pandemic situation arranging complex business travel, including transportation, accommodation, reservations, visas, registrations, program arrangements, travel expenses, etc.
* Effectively interacting with assistants within and outside of the organisation and across multiple sites in Switzerland, Germany, Denmark and China
* Liaising with different audiences across cultures and time-zones
* Working with executive leaders
* Being an active part of an administrative community and leverage know-how and support
* Meeting and greeting visitors at all levels of seniority
Must Haves:
* Experience working in a similar position and in an international environment in diverse and complex organisational cultures and structures
* Fluent in English, knowledge of German would be an advantage
* Good knowledge of the Google suite
* You are used to working on your own initiative with minimal supervision managing your and your line manager’s time and tasks effectively
* You are a clear, accurate and articulate communicator as well as very dependable
* You enjoy being an active part of an administrative community
* You are flexible and can deal with urgent requests
* You have a genuine curiosity about your business area, an interest to learn about the organisation and want to make an impact through your work
