About this opportunity To best support our continued growth and ambition in the EMEA region, we are now looking to recruit an ambitious, talented, conscientious Paralegal & Team Assistant to join our dynamic EMEA Legal team in supporting our fast-growing activities with broad and evolving legal requirements. In this role, you will… With demonstrated skills and interests in a wide variety of matters, the Paralegal & Team Assistant EMEA will administratively support the Regional General Counsel EMEA and her team on various corporate, commercial, and organizational tasks including: Assisting in certain corporate governance related matters for our legal entities in EMEA, g. maintaining electronic records of corporate information (HCue), etc. Assisting in the preparation, review, execution and tracking of powers of attorneys which may include legalization and notarization of documents. Assisting in the preparation of internal reporting, including quarter end reports using Ariba … Recording invoices and legal spent and acting as System Administrator of our electronic billing and matter management tool by opening and coding new matters, adding law firm participants to existing matters and conducting quarterly system updates. Managing communication with outside counsels and ALPs on any queries regarding their invoices and ensuring they meet our Outside Counsel Billing Guidelines. With support from our Global Legal Operations Team, be the acting liaison between our global Accounts Payable team and our IT integration development partners to troubleshoot invoice errors and coordinate fixes. Organizing and planning periodic Legal Trainings and their roll-out in the region, managing invites, responses, reminders and maintaining record of attendance. Assisting in the organization of Team meetings, preparing meeting agenda, meeting minutes... As the need arises or over the time, the Paralegal & Team Assistant EMEA will have the opportunity to grow and develop his/her skillsets to cover certain compliance or labor law related projects and will have frequent opportunity to learn from and partner with our Global Legal Operations team based in the US, as the team drives the Legal & QARA function imperatives to find efficiencies and works to synchronize processes across our regional and enterprise legal teams. In this role, you'll need … Bachelor's degree with 2+ years of legal secretary and/or corporate paralegal experience in a global company or with an international reputable law firm. Self-starter with proven ability to work in a diverse, fast-paced and dynamic global organization. Organized, detail-oriented, and efficient, you can handle multiple assignments and changing priorities with poise, and you like to take ownership, work independently, and solve problems. Excellent written and verbal communication skills with strong attention to detail, customer focus, and effective interpersonal skills to serve as a liaison between the legal department and all internal and external partners/vendors. Demonstrate honesty, responsibility, integrity, and dedication in the fulfillment of commitments. Exceptional skills in Microsoft Office, including PowerPoint, Word, Excel, Teams and Outlook and experience with SharePoint or other hub-type platform, and ability to administer updates. Prior experience with both Thomson Reuters Legal Tracker (formerly Serengeti) or other eBilling management software tools, and Ariba (or similar contract management system) is a plus.
