The Forum is looking for a highly driven, service-minded Executive Assistant, who will be instrumental in supporting the Head of Public Engagement team.


 


EXECUTIVE ASSISTANT


  Duties and Responsibilities



  • Work closely with Group head to set the team up for success, and help to create a culture of collaboration, creativity, efficiency and effectiveness

  • Within the group, bring relevant teams (functional, cross-group,..) together, scheduling and coordinating virtual or in-person meetings, engaging participants beforehand to build relevant agendas and pre-reading materials, following through and facilitating progress, accountability and results, on a prioritized basis

  • Stay ahead of the curve to ensure team interaction is optimized and information and knowledge sharing, aligning and creating value is facilitated

  • Understand group work flows, supporting the coordination of institutional workflows (e.g. year-end reviews, budget), helping to ensure the group be effective and efficient in their delivery, andsupport group head in ensuring strong governance and conscientious communication

  • Support group with the on-boarding of their new team members, helping to navigate the organization and the group

  • Act as a sounding board and connector to help group head and the teams build long-term relationships and effective collaboration by supporting a constant flow of communication and feedback, fostering a strong one-team spirit, and channelling communication flows to create value and achieve higher results

  • Help connect group head with the rest of the organization, by supporting a trusted flow of communication, high responsiveness and care

  • Help define and implement the group’s digital and communication strategy, leveraging the Forum’s preferred digital tools, creating accessible knowledge management and filing systems

  • Managing Group Head itineraries, travel plans, crafting correspondence, preparing documents and presentations.


Qualifications and Skills



  • University degree in business, marketing, communications, or related fields

  • 5+ years of professional experience, preferably in a support or coordination function in the private sector; experience in international and global organizations is a plus

  • Proven experience providing organizational support for cross-functional teams

  • High attention to detail and accuracy; ability to deliver and track progress against deadlines

  • Strong service orientation towards internal and external parties; ability to collaborate with other team members and with other teams in the delivery of highly connected tasks

  • Proven experience of problem-solving in the face of deadlines and unforeseen events, of managing conflicting priorities under stress and flexibility in the face of change

  • Fluency in English, with a demonstrated experience writing clear, high quality communications in both languages

  • Strong IT skills, with good knowledge of Microsoft Office; knowledge of the Salesforce platform a plus
